Privacy Policy

This Privacy Policy explains how Patrolr AI LLC ("Loxen", "we", "us", or "our"), the provider of the Patrolr platform ("Patrolr", the "Service"), collects, uses, shares, and protects personal information. Patrolr is a security-guard workforce management platform delivered through a web portal and a mobile application, used by security companies and their personnel to manage patrols, scheduling, attendance, and incident reporting.

Please read this Policy carefully. If you do not agree with it, do not use the Service.

2. Scope and Our Role (Controller vs. Processor)

Most people use Patrolr on behalf of an employer or organization (a security company that subscribes to the Service — the "Organization"). For information you provide or generate in the course of your work through the Service, the Organization is the "controller" (it decides why and how the information is used) and Loxen acts as the "processor" (we handle the information on the Organization's instructions). For questions about how your Organization uses your information, please contact your Organization directly.

For a limited set of information — such as the account and technical data we need to operate, secure, and improve the Service itself — Loxen acts as the controller. This Policy describes our own practices in that role and, for transparency, the categories of information processed on the platform generally.

3. Information We Collect

We collect the following categories of information:

Account and Profile Information

Your name, email address, phone number, role and job title, and the credentials used to sign in. Where provided, a mailing address may also be stored. For personnel in a guard role, your Organization may store employment-related details such as armed status and pay rate.

Precise Location Information, Including Continuous Background Location While On Shift

Patrolr collects precise (GPS-level) location from your mobile device. When you check in to a shift, the app records your precise location at that moment; the site's settings may require you to be within the site's geofence to check in. Then, for the entire time you remain checked in to an active shift, Patrolr collects your precise location continuously in the background — that is, at frequent intervals (roughly every few seconds), while the app is not open on screen and even while your device is locked. On Android this runs as a foreground service with an ongoing notification. We do this so that the Service can (a) confirm your on-site presence at check-in, (b) show your live location on a map to your Organization's supervisors and administrators in real time while you are on shift, and (c) perform geofence-based automatic check-out when you leave a site's boundary. Background location collection takes place only while you are checked in to an active shift and stops when your shift ends or you check out. Your location is linked to your identity and your Organization; it is not collected anonymously. You can disable location permissions at any time through your device settings, but doing so will prevent core check-in, live-tracking, attendance, and geofence features from working.

Attendance and Geofence Events

Records of shift and site activity, including check-in and check-out timestamps, the coordinates captured at those events, live position updates while on shift, and geofence entry/exit and violation events.

Incident and Activity Reports

The reports you submit through the Service (for example, hourly check-in reports and incident reports), which may include text descriptions and photo and video attachments.

Technical and Log Data

When you use the Service, our systems automatically record basic technical information — such as IP address and application/API request logs — for security, authentication, and troubleshooting. Patrolr does not currently use third-party analytics or crash-reporting tools, and does not collect advertising identifiers.

4. How We Use Information

We (and, where applicable, your Organization) use the information above to:

  • Provide, operate, and maintain the Service, including live guard tracking, scheduling, attendance verification, and geofence check-in/out;
  • Enable incident and activity reporting, and generate, summarize, and format activity reports (including with the help of AI providers — see "How We Share Information");
  • Support invoicing and payment collection between your Organization and its clients;
  • Authenticate users and secure accounts;
  • Communicate with you about the Service, including operational and support messages;
  • Monitor, troubleshoot, debug, and improve the Service;
  • Comply with legal obligations and enforce our terms; and
  • Protect the rights, safety, and property of users, the Organization, and the public.

6. How We Share Information

We share information only as described here:

  • With your Organization. Information you provide or generate through the Service — including your live location while on shift, attendance records, and reports — is made available to the Organization you work for (including its supervisors and administrators), which controls that information.
  • With service providers (sub-processors). We use trusted third parties to run the Service, each processing information on our behalf under contractual obligations. These currently include: Amazon Web Services (cloud hosting) and S3-compatible object storage (for file attachments such as report photos and videos and generated PDFs); Supabase (authentication and identity); Resend (transactional email delivery); Stripe (payment processing for invoicing, via Stripe Connect); and AI providers (OpenAI and Anthropic) used to help generate and analyze report content. Report text submitted through the Service may be sent to these AI providers to produce activity reports.
  • For legal reasons. We may disclose information where we believe it is required to comply with law, legal process, or a lawful governmental request, or to protect rights, safety, and property.
  • In a business transfer. If Loxen is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

We do NOT sell your personal information, and we do not share it for cross-context behavioral advertising.

7. Data Retention

We retain personal information for as long as needed to provide the Service, and thereafter as required to comply with legal obligations, resolve disputes, and enforce our agreements. Where Loxen acts as a processor, retention is generally governed by the Organization's instructions and applicable law. When information is no longer needed, we take reasonable steps to delete or de-identify it.

8. Data Security

We use reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. International Data Transfers

The Service is operated using infrastructure that may be located in countries other than the one in which you live, including the United States. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection as required by applicable law, such as using appropriate contractual safeguards.

10. Your Privacy Rights

Rights in the EEA / UK (GDPR / UK GDPR)

Subject to conditions and exceptions in the law, you have the right to: access your personal information; correct inaccurate information; request erasure; restrict or object to certain processing; request portability of information you provided; and withdraw consent where processing is based on consent. You also have the right to lodge a complaint with your local data protection supervisory authority. Because your Organization is typically the controller of work-related information, you may need to direct certain requests to it; we will assist the Organization as required.

Rights in California (CCPA / CPRA)

If you are a California resident, subject to conditions and exceptions, you have the right to: know and access the personal information we collect about you and how it is used and shared; request deletion of your personal information; request correction of inaccurate personal information; and opt out of the "sale" or "sharing" of personal information. We do not sell or share personal information as those terms are defined under California law. Precise geolocation is treated as "sensitive personal information," and you may request that we limit its use to what is necessary to provide the Service. We will not discriminate against you for exercising your rights.

11. Children's Privacy

Patrolr is a workforce tool intended for use by adults in an employment context. The Service is not directed to children, and we do not knowingly collect personal information from anyone under 16 years of age. If you believe a person under 16 has provided us with personal information, please contact us at contact@patrolr.ai so we can take appropriate action.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" above and, where appropriate, provide additional notice. Your continued use of the Service after an update takes effect indicates your acceptance of the revised Policy.
